Why it matters

What happens while your finances live in spreadsheets

In most companies, management accounting runs on people and files. As long as it works, nobody counts what delays and conflicting numbers actually cost

  • 01

Two specialists and not a single verified number

One pulls the exports, the other interprets them. Only a third finance professional could check the math, so the executive takes the numbers on faith

  • 02

    Month-end close takes weeks

A cash flow summary hundreds of rows long, several versions of the file, manual reconciliation. By the time the report is ready, the situation has already changed

  • 03

Every department has its own version of the truth

The owner, sales, procurement and finance all look at different exports. A dip in a channel or SKU is visible only to whoever goes looking for it

How it’s built

Five layers: four build the finance domain, the fifth turns it into action

The lower layers make up the BI system: data, methodology, metrics and forecasting. The top layer is AI-CFO, which reads this data and works with it in place of a person

AI-CFO

An assistant that works with your data

AI-CFO reads the BI system’s data marts directly. It spots a deviation before a person would, finds the document that caused it and suggests an action with its impact estimated in dollars. Ask a question by text or voice: the answer is based on the same numbers you see on screen

  • Deviations in cost, margin and cash
  • Root cause with a link to the 1C document
  • Recommendations with the dollar impact
  • Accept or decline in one click
  • Questions in natural language
  • Weekly digest for executives
  • Language model inside your infrastructure
  • Log of all questions and answers

The assistant does not change data in your accounting systems: it suggests, and a person decides

In practice

Three situations where the system reacts before the report does

The logic comes from a live system. The numbers on this page are illustrative; the sequence of steps is real

01Cash

A cash gap spotted twelve days before the payment

Signal
Cash calendar: in 12 days, the balance drops below the $60,000 minimum
Context
Receivables more than 90 days overdue, two investment project payments in the same window, a delayed marketplace payout
Action
Speed up the marketplace payout and reschedule one CAPEX payment. No need for across-the-board cuts
Effect
Supplier and payroll obligations met on time
02Margin

Ads switched off on loss-making items

Signal
Unit economics: several SKUs show negative profit per unit while ad spend grows
Context
Ozon margin is 4.2 percentage points below plan; advertising eats up the gross profit on three items
Action
Scenario: −15% on advertising and a price review for loss-making SKUs. Profit per unit is recalculated before the changes go live
Effect
Spending that brought no profit is cut; the items that drive the channel are left alone
03Accounting

Plan vs. actual only adds up after postings in 1C are fixed

Signal
The department is on plan, but 10% of expenses have no line item and 4% no department
Context
Year-to-date plan vs. actual looks good thanks to a bloated “Other” line
Action
A list of 1C transactions that need reposting. Once they are fixed, the budget becomes manageable
Effect
The discussion shifts from arguing about numbers to deciding what to do
Comparison

How this differs from a spreadsheet, 1C reports and a dashboard built on exports

A spreadsheet holds one person’s calculations. 1C reports show the accounting view. A dashboard displays whatever it’s fed. BI with AI-CFO calculates using a defined methodology and suggests action

Auditability

Numbers you can verify

It normally takes one finance professional to check another. The system follows rules that are open to inspection: mappings, the classifier, allocations and a link to the source document behind every amount

  • 01

    Source: 1C and marketplaces

Journal entries, turnover and balances come in via OData; sales, commissions, advertising and stock come from marketplace seller accounts. The time of the last load is shown on screen

  • 02

    Methodology in plain sight

The P&L taxonomy, cost allocation rules, item-to-channel mapping and signal thresholds live in the settings, with a change log

  • 03

    Drill-down to the journal entry

Every amount in the tree drills down to the account, analytical dimensions and document. Reconciling with your analyst’s figures is routine, not a one-off project

  • 04

    Groups of companies and access

Several legal entities on one screen; admin, finance, analyst and viewer roles; an activity log; a language model inside your security perimeter

In a live implementation, figures calculated from 1C journal entries matched the multi-year model kept by the company’s financial analyst over 39 months, with better than 99% accuracy.

What changes in the finance team’s work

Today

  • P&L — a spreadsheet and a two-to-three-day close
  • Cash flow — a bank export and a rough guess
  • SKUs — the seller dashboard and a side spreadsheet
  • Inventory — stock in 1C, no days of supply
  • Budget — once a year, actuals later
  • Risks — in the CFO’s head
  • AI — a public chatbot that leaks context

With BI and AI-CFO

  • Data marts refresh on a schedule
  • One methodology for every screen
  • Cash and profit for the same period
  • Unit economics tied to inventory and advertising
  • Budget, actuals and bookkeeping quality in one table
  • A signal with an action before a crisis, not after
  • The model works from data marts, inside your infrastructure

FAQ

Questions about BI and AI-CFO

Updated

How is a BI system different from a Power BI dashboard or 1C reports?

A dashboard shows data marts that someone put together in advance. The BI system is a model of your finance domain: one methodology, every amount traceable to the journal entry, allocation rules, forecasts and scenarios. 1C reports show the accounting picture; the system builds the management picture

What does AI-CFO do if the BI system already calculates everything?

It works with the results. The assistant watches for deviations, looks for the cause in the documents, suggests an action with a dollar estimate and answers questions based on the data marts. The BI system does the math; AI-CFO explains and recommends

How long does setup take?

Usually two to three weeks: connecting 1C and the marketplaces, mapping line items, reconciling with your financial analyst’s figures. The outcome is a working system on your data, with success metrics agreed before we start

Will our data be sent to an external language model?

No. The model is deployed inside your infrastructure or on a dedicated server, and the data never leaves your perimeter. A cloud model is an option only if your security team separately approves it

What if bookkeeping in 1C is sloppy?

The system will be the first to show it: transactions without a line item or department land in a posting quality report. The list of fixes goes to your accountants, and plan vs. actual starts to add up

How is pricing determined?

It depends on the number of sources and legal entities, the depth of the methodology and the hosting option. After your request, we send you the scope of the system and an estimate for your accounting setup
